How to dispute common adbills
When shipping LTL Freight, you may find that you are charged additional fees on top of your original quote. In order to save money on shipping, it's important to understand the root cause of these added freight bills and how to avoid them in the future. Below are a list of common adbills with examples of how to dispute.
Additional Shipment/Duplicate BOL
Additional Shipment or Duplicate BOL fees occur when two different shipments are moved using the same Koho shipping documents. Both carrier BOLs are available in your shipment document section.
To dispute you must provide evidence that the additional shipment was not moved under this Koho Shipping Order.
EXAMPLE documents to dispute:
PODs showing that each shipment PRO is associated with a distinct Koho BOL number.
BOL Correction
BOL Correction fees can occur when the information on the BOL sent with the freight is not correct and needs to be updated. Please note the BOL handed to the carrier must have accurate accessorial and billing information when the freight is picked up.
To dispute you must provide evidence that the BOL handed to the carrier at the time of pickup was accurate.
EXAMPLE documents to dispute:
A scanned image of an accurate BOL signed by the carrier and dated on the pickup date.

Capacity Load
Capacity Load fees occur when a spot volume (VLTL) shipment is reweighed and/or has additional pallets added to it. This may also occur when you book multiple shipments for the same shipper and consignee with the same carrier on the same day. The Reweigh Certificate is available in the shipment’s document section. Please note that VLTL quotes are only valid for shipments that exactly match the quoted quantity, weight, dimensions, and pickup date.
To dispute you must provide evidence that the freight as shipped matched the original quoted details.

Carrier Change
Carrier Change fees occur when the shipment was handed over to a carrier other than the one selected with the original quote. The additional charge is to cover the difference between the original quote and amount charged by the carrier that actually moved the freight.
To dispute you must provide evidence that the carrier change did not occur.
EXAMPLE documents to dispute:
A POD from the carrier on the original quote.
Detention
Detention fees occur when the carrier is held beyond the free time for loading (at origin) or unloading the truck (at destination). LTL standard fees are incurred in 15 min increments after the first 15 mins, until the driver can pick up or deliver and leave the premises.
To dispute you must provide evidence that the carrier’s record of detention time is inaccurate.
EXAMPLE documents to dispute:

Freight Class Change
Freight Class Change fees occur when dimensions or weight change from the original quoted booking or the shipped commodity does not match the NMFC number. Please note that any packaging material (e.g. pallets) or overhanging items must be accounted for in the weight and dimensions when you request a quote.
To dispute you must provide evidence that the freight as shipped matched the quoted weight, dimensions and commodity.

Inside Delivery
Inside Delivery fees can occur when the location receiving the freight requires the freight to be delivered inside a threshold instead of a dock or outside the building.
To dispute you must provide evidence that the freight was delivered to a dock or an outside location.
EXAMPLE documents to dispute:
A photograph of the receiving facility showing dock access or a forklift.

Inside Pickup
Inside Pickup fees can occur when the location shipping the freight requires the freight to be picked up from inside a threshold instead of a dock or outside the building.
To dispute you must provide evidence that the freight was picked up from a dock or an outside location.
EXAMPLE documents to dispute:
A photograph of the receiving facility showing dock access or a forklift.

Liftgate Delivery
Liftgate Delivery fees can occur when the location receiving the freight requires a truck with a liftgate. This includes facilities without a dock or a forklift to unload the freight. Additionally, all residential deliveries require liftgate trucks even if the freight is delivered without using the liftgate.
To dispute you must provide evidence that a liftgate truck was not required to deliver the freight and that it was not delivered to a residential location.

Liftgate Pickup
Liftgate Pickup fees can occur when the location shipping the freight requires a truck with a liftgate. This includes facilities without a dock or a forklift to unload the freight. Additionally, all residential pickups require liftgate trucks even if the freight is picked up without using the liftgate.
To dispute you must provide evidence that a liftgate truck was not required to pick up the freight and that it was not picked up from a residential location.

Limited Access Delivery
Limited Access Delivery fees can occur when the delivery location is a type of facility on our list of limited access locations but not quoted as such. Additionally, locations may be categorized as general limited access if getting to the location is especially difficult or impossible for a large truck to access, such as having to drive on an unimproved road.
To dispute you must provide evidence that the delivery location matched the quoted location type and should not be considered limited access.

Limited Access Pickup
Limited Access Pickup fees can occur when the pickup location is a type of facility on our list of limited access locations but not quoted as such. Additionally, locations may be categorized as general limited access if getting to the location is especially difficult or impossible for a large truck to access, such as having to drive on an unimproved road.
To dispute you must provide evidence that the pickup location matched the quoted location type and should not be considered limited access.

LTL to Volume Conversion
LTL to Volume Conversion fees can occur when your Spot Quote is not listed on the BOL, you have exceeded a carrier’s LTL threshold for pallet count or weight limit, or you book multiple shipments for the same shipper and consignee with the same carrier on the same day.
To dispute you must provide evidence that the freight as shipped matched the original quoted details.

Lumper
Lumper fees occur when the shipper or consignee requires the carrier to purchase contract labor to perform loading or unloading services. Contractor charges are prorated by weight and charged as an additional fee by the carrier. A copy of the lumper receipt is available in your shipment documents section.
To dispute you must provide evidence that the lumper service was not performed.
EXAMPLE documents to dispute:
Surveillance video of the loading or unloading showing that no lumper was used.

Notification Fees
Notification fees occur when the shipper or consignee requires the carrier to call, notify (including unmanned warehouse calls), or schedule an appointment ahead of pickup or delivery without including an appointment request in the original quote.
To dispute you must provide evidence that the notification service was not required and did not occur.
EXAMPLE documents to dispute:
A POD document showing the delivery was made to the original consignee.
Over-Dimension Fees
Over-Dimension fees occur when the shipped items do not match the dimensions of the original quote and contain one or more articles with a dimension that equals or exceeds 8 ft in length. Note that fees incrementally increase at varying lengths by each carrier and its tariff rules.
To dispute you must provide evidence that the shipped items matched the quoted dimensions.

Reconsignment / Diversion
Reconsignment/Diversion fees occur when the shipment’s delivery location is updated during transit such as when a shipment is refused by the original consignee and delivered elsewhere.
To dispute you must provide evidence that a reconsignment or diversions did not occur and that the shipment was delivered to its original consignee.
EXAMPLE documents to dispute:
A POD document showing the delivery was made to the original consignee.
Redelivery
Redelivery fees occur when the carrier is required to make an additional delivery attempt after being unable to deliver the shipment because the receiving facility was not open or the delivery location contact was unavailable when the delivery was first attempted.
To dispute you must provide evidence that the receiving location’s hours of operation match the delivery window on the original BOL.
EXAMPLE documents to dispute:
Surveillance video showing that the receiving facility was open during the window hours on the BOL on the day the delivery attempt was said to have occurred.

Residential Delivery
Residential Delivery fees occur when the consignee location is in a residential area but was not quoted as such. Please note that businesses located in residential areas, even if not themselves residences, are still subject to these fees. When requesting a quote, indicate that these locations are residential.
To dispute you must provide evidence that the delivery location is not in a residential area.
EXAMPLE documents to dispute:
A map showing the location of the facility is in a standard commercial area.

Residential Pickup
Residential Pickup fees occur when the shipping location is in a residential area but was not quoted as such. Please note that businesses located in residential areas, even if not themselves residences, are still subject to these fees. When requesting a quote, indicate that these locations are residential.
To dispute you must provide evidence that the pickup location is not in a residential area.

A map showing the location of the facility is in a standard commercial area.

Other Services
Other Services fees can occur when non-standard or extraordinary services were performed by the carrier. Additionally, an Other Services fee may be used when the carrier combines multiple services into a single charge. Please message us for information about an Other Services fee for a specific shipment.
To dispute you must provide evidence that the services described in the charge did not occur.
Reweigh
Reweigh fees occur when the weight of the shipped freight is more than the weight in the original quote. The reweigh certificate will be available with your shipment’s documents. Please note that any packaging material (e.g. pallets) must be accounted for in the shipment weight when you request a quote.
To dispute you must provide evidence that the freight as shipped matched the quoted weight.

Reweigh and Reclass
Reweigh and Reclass fees occur when both the weight and freight class provided in the original quote are not valid for the shipped freight. The Reweigh Certificate is available in the shipment’s document section. Please note that any packaging material (e.g. pallets) or overhanging items must be accounted for in the quoted weight and dimensions.
To dispute you must provide evidence that the freight as shipped matched the quoted weight, dimensions and commodity and was valid for the selected freight class.

Storage
Storage fees occur when freight cannot be delivered and has to be housed by the carrier. Note that storage fees are usually incurred when freight is held beyond 2 days and increase each day stored and some carriers do not notify Koho/customer when a delivery attempt was failed.
To dispute you must provide evidence that storage services did not occur.
EXAMPLE documents to dispute:
A POD document showing the delivery date was within one day of the freight arriving at the destination terminal.
TONU/DRY Run
Truck Ordered Not Used (TONU)/Dry Run fees occur when a carrier arrives at a pickup location and no freight is ready to be picked up. Note that an accurate pickup date and window must be provided ahead of the carrier arriving at the shipper’s facility and freight is properly packaged and ready for pickup per carrier terms. Please ensure that the shipper has a valid BOL with the correct bill-to party and quote number.
To dispute you must provide evidence that the carrier did not perform the dry run.
EXAMPLE documents to dispute:
Surveillance video of the shipper facility showing that the carrier did not arrive on the day the dry run was said to have occurred.
VLTL Quote Not Applied
VLTL Quote Not Applied fees occur when the Koho Shipping Order was not used to move the shipment and the documents handed over to the carrier did not contain all of the necessary information for the carrier to charge the amount expected because our Quote Number was not listed. The additional charge represents the difference between the original quote and the updated total charges.
To dispute you must provide evidence that the quote number from your original quote was on the documents handed to the carrier at the time of pickup.
EXAMPLE documents to dispute:
A photo copy of the BOL with the correct quote number and with the carrier’s dated signature.
Volume Increase
Volume Increase fees occur when the dimensions of the shipped freight are greater than the dimensions in the original quote. Please note that any packaging material (e.g. pallets) or overhanging items must be accounted for in the weight and dimensions when requesting a quote.
To dispute you must provide evidence that the freight as shipped matched the original quoted details.
